Travel Policy¶
Effective from 30th July 2026
Introduction¶
As the Company operates on a remote-first basis, business travel is currently uncommon. This policy sets out the principles that apply if and when business travel is required.
Before You Book¶
Discuss any anticipated business travel with Matt Lovett before making a booking or incurring any expense. This includes transport, accommodation, and any related costs.
General Principles¶
- Choose the most economical, practical option available (e.g. standard class rail travel, economy flights).
- Travel between your home and usual place of work is not treated as business travel and won't be reimbursed.
- Taxis should only be used where public transport isn't practical or where it's cost-effective given time saved or the number of people travelling together.
- If a car is used for business travel with prior approval, mileage can be claimed at the current rate, along with any parking costs (receipt required).
- Reasonable accommodation and subsistence costs will be reimbursed where an overnight stay is necessary, subject to prior agreement with Matt Lovett.
- The Company does not provide travel insurance. You may wish to arrange your own cover for business trips.
Cancellations¶
If travel or accommodation needs to be cancelled or changed, let Matt Lovett know immediately and cancel as soon as possible to minimise costs. Costs arising from late cancellation without good reason may need to be covered personally, at the Company's discretion.
Claiming Expenses¶
Expenses must be submitted through Xero within 28 days of being incurred, with valid receipts attached. Expenses outside this policy, or not claimed within this window, won't be reimbursed.
