Health & Safety Policy

Effective from 1st June 2020

Introduction

  1. WOW Media UK Ltd ("the Company") recognizes and accepts its responsibilities under the Health and Safety at Work etc Act 1974, including the responsibility to:
    1. Ensure a safe and healthy work environment for remote employees
    2. Provide adequate information, instruction, training, and supervision for home-based work
    3. Provide guidance on setting up ergonomic home workstations
    4. Ensure secure access to and use of company systems from remote locations (covered in detail in our separate IT Security Policy)
    5. Work to prevent accidents and work-related ill health in the home office setting
    6. Support the mental health and wellbeing of remote workers

General Health and Safety for Remote Work

  1. The overall responsibility for health and safety lies with the Company's Director, Matthew Lovett.
  2. The Management consists of the Company's Director and any other appointed managers within the Company.
  3. The Management are committed to achieving the highest standards of health and safety for remote workers throughout the Company.
  4. The Management are also committed to complying with the requirements of the Management of Health and Safety at Work Regulations 1999, the Health and Safety (Display Screen Equipment) Regulations 1992, and other Regulations that apply to the Company's work activities, including those relevant to remote work.
  5. The Management will ensure that assessments of all remote work activities are carried out regularly, in order to identify hazards and work to prevent instances of injury, disease and dangerous occurrences arising in the home office setting.
  6. The Management are committed to ensuring that the work done by the Company's remote employees does not adversely affect their health and safety.
  7. The Management are fully committed to providing guidance and resources for safe and healthy working conditions in remote work environments.
  8. The Company will strive to maintain excellence in health and safety matters for remote work, and in this respect, employees are encouraged to co-operate with the management in all safety matters, to identify hazards and reduce the risk which may exist during remote work activities, and to report any condition which may appear dangerous or unsatisfactory. The Company will at all times consult with the employees on these matters.
  9. The Management will, so far as reasonably practicable, ensure that the Company provides adequate financial resources to meet these objectives for remote work safety.
  10. Copies of this policy are to be available to all Company employees through digital means and other interested parties.

Display Screen Equipment (DSE) Assessment

  1. All employees who use display screen equipment as a significant part of their work must complete an annual DSE self-assessment.
  2. DSE assessments must be completed at least once per year using the DSE checklist available here.
  3. Completed assessments must be submitted to management for review within 14 days of completion.
  4. Any issues identified in the assessment will be addressed by management in consultation with the employee.
  5. Additional assessments may be required if there are significant changes to workstation setup or if health issues arise.

Emergency Procedures for Remote Workers

  1. Medical Emergency:
    • Call 999 immediately for serious medical emergencies
    • Contact your line manager as soon as reasonably practicable after the emergency

  2. Work-Related Incidents:
    • Report any work-related accidents, injuries, or near misses to management within 24 hours
    • Complete an incident report form (to be provided by management)
    • Seek appropriate medical attention if required
  3. Equipment/Technical Emergencies:
    • For IT security incidents, follow the procedures outlined in the Company's IT Security Policy
    • For equipment failures that prevent safe working, stop work and contact management immediately
  4. Mental Health Support:
    • Employees experiencing work-related stress or mental health concerns should contact their line manager
    • Where included in their employment contract, employees can access mental health support through WPA medical health insurance services
    • Access to Employee Assistance Programs or occupational health services will be arranged where appropriate

Mental Health and Wellbeing

  1. The Company recognises that remote working can present unique challenges to mental health and wellbeing.
  2. Employees are encouraged to maintain regular working hours and take appropriate breaks.
  3. Management will conduct regular check-ins with remote workers to monitor wellbeing.
  4. Support will be provided for employees experiencing work-related stress or mental health issues.
  5. Where included in their employment contract, employees have access to WPA medical health insurance, which includes mental wellbeing services and support.
  6. Employees should feel comfortable discussing any concerns about their mental health or working conditions with management.

Director's Duties

  1. The Director will have at least basic knowledge and understanding of the Health and Safety at Work etc Act 1974 and its associated Regulations and Approved Codes of Practice.
  2. It will be the responsibility of the Director to keep all employees advised as to their responsibilities in respect of health and safety matters.
  3. In order to protect the safety and health of employees and others affected by the Company's operations, the Director will:
    1. Take reasonable steps to familiarise themselves with the hazards and risks associated with working at the Company and with the precautions which need to be taken to eliminate or control those risks.
    2. Establish procedures to deal with any emergencies.
    3. Ensure that employees receive sufficient training and information so that they can carry out their duties safely and competently. Ensure adequate funds and facilities are available for this purpose. Before entrusting work tasks to employees, take into account their capabilities as regards health and safety and ensure that suitable Risk Assessments are carried out on any hazardous activity.
    4. Initiate the timing and annual review of the Health and Safety Policy and ensure it is promoted to all employees and others working on behalf of the Company.
    5. Ensure that all employees carry out the health and safety responsibilities allocated to them.
    6. Ensure the safety performance of the Company is monitored and take action to remedy any identified deficiencies.
    7. Ensure that adequate provision is made for welfare facilities and that adequate first aid provisions are made.
    8. To promote an interest and responsible attitude towards Health and Safety matters throughout the Company.
    9. To inform the Health and Safety Executive of all notifiable accidents.
    10. Investigate any accidents or dangerous occurrences and recommend means of preventing recurrence.
